Job Summary

To support the organizational mission and goals of Animal Protectors of Allegheny Valley, by overseeing and providing routine and special medical care of Animal Protectors’ shelter animals, including but not limited to intake and evaluation, daily care of residents, foster care, 911 rescues, and adoption.The Medical Coordinator serves as a liaison with shelter veterinarians and is in direct contact with the public, volunteers.

Animal Caregiver

Part Time


Job Summary

Animal caregiver’s primary duties involve direct care of the Animal Protectors animals including feeding, medicating, cleaning of cages, stocking supplies and the general cleaning of the shelter. Caregivers are in direct contact with the public, volunteers and other staff and therefore must be a self-starter, have a positive attitude and work well with others. Animal Protectors is a fast-paced, high stress environment.

Front Office Coordinator

Part Time

Job Summary

To support the organizational mission and goals of Animal Protectors of Allegheny Valley by ensuring efficient office workflow by following established operations and procedures. Providing exceptional customer service in the front office of the shelter, providing assistance to the public via phone or in person and working collaboratively with staff and volunteers in a fast paced, stressful environment. Provide assistance to the Shelter Manager in the daily operations of the shelter.

Responsibilities and Duties

Maintain consistent excellent customer service skills on the telephone and in person.
Greet and direct shelter visitors, answer questions and provide accurate information regarding shelter activities
Answer phone calls, respond to voicemails, greet and assist visitors entering the shelter.
Assist public, volunteers and staff by communicating accurate information and ensuring any complaints are resolved or escalated appropriately.
Coordinate intake of all animals by monitoring intake procedure, and ensure all documentation, including required forms and state books, is completed.
Responsible for maintaining accurate and up to date State Records and ensuring AP is in compliance with all government regulations
Assist the Shelter Manager and Kennel Manager with Inspection Office and state Dog Warden during state inspections and resolving any violations, if needed.
Responsible for ensuring all adoption paperwork is complete from initial application through completed animal information packet at time of adoption. Once authorized, approve adoption applications, or escalate appropriately.
Assist in animal intake functions; provide information to customers about the intake process and ensure all required paperwork is completed and maintained.
Process adoption and other financial transactions.
Responsible for ensuring Return to Owner and return from placement paperwork is complete and accurate.
Data entry of all animal records, excluding medical, to Shelter Manager
Report to the Shelter Manager any facility related issues to include mechanical systems, plumbing, and any maintenance problem
Maintain and organize flow of paperwork in the front office.
Monitor inventory of office supplies and report needs to Shelter Manager.
Responsible for cleaning and organizing front office area
Delegate tasks to office volunteers as needed
Other assigned duties related to maintaining a clean, safe facility for the public, staff, and animals.
Any other duties as assigned by Shelter Manager.
Qualifications and Skills

Required

High school diploma or GED
Any combination of education and work experience which would provide an opportunity to acquire the knowledge and abilities as listed
Excellent communication skills
Decision-making and problem-solving abilities
Computer literate
Ability to understand written and oral directions
Good writing skills
Ability to communicate professionally with the public and other staff
Ability to multitask
Good organizational skills
Must have reliable transportation
Preferred

Three or more years of office operations/administrative work in a fast paced environment
General knowledge of dog and cat behavior.
Advanced Computer skills
